- Contact enquiries: Name, email address, and message content submitted via our contact form.
- Performer and volunteer applications: Name, email, and details submitted via our Community page interest forms.
- Newsletter subscriptions: Email address when you subscribe to our mailing list.
- Membership applications: Name, email, and payment details. Payment processing is handled securely by POLi Payments — we do not store card details.
- Website usage: Standard server logs (IP address, browser type, pages visited) retained by our hosting provider for security purposes.
How We Use Your Information
- To respond to your enquiries and applications
- To send newsletters and event updates (only if you have subscribed)
- To process and manage membership applications
- To maintain records of our community and membership base
- To improve our website and communications
Third-Party Services
We use the following third-party services that may process your data:
- Campaign Monitor: Our newsletter platform. Subscriber email addresses are stored and processed by Campaign Monitor (Australia/global). Their privacy policy is available at campaignmonitor.com.
- Givealittle: Donations are processed through Givealittle. Their privacy policy applies to donation transactions.
- POLi Payments: Membership payments are processed by POLi. Your payment information is subject to their privacy policy.
- WPForms: Form submissions are stored securely in our WordPress database hosted by Bluehost (USA).
- Google Fonts: Fonts are loaded from Google servers, which logs your IP address as part of a standard web request. No cookies are set by Google Fonts.
- Jetpack (Automattic): Used for site functionality. See Automattic privacy policy.
Cookies
Our website uses a small number of functional cookies necessary for the site to operate correctly. We do not use tracking or advertising cookies.
- Session cookies: Set temporarily when you interact with forms. These expire when you close your browser.
- Hosting optimisation cookie: Set by our hosting provider (Bluehost/Newfold) for performance caching. This does not track personal activity.
You can manage or disable cookies through your browser settings. Disabling cookies may affect some site functionality.
Data Retention
- Contact and application form submissions: Retained for up to 2 years, then deleted.
- Newsletter subscriber data: Retained while you remain subscribed. Unsubscribe at any time via the link in any email.
- Membership records: Retained for the duration of membership and up to 7 years thereafter for financial record-keeping obligations.
Data Security
Our website uses HTTPS encryption. Access to your personal information is restricted to authorised Prayas Theatre committee members. We do not sell, trade, or share your personal information with third parties, except as required by law or as described in this policy.
Your Rights
Under the New Zealand Privacy Act 2020, you have the right to:
- Request access to personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information (subject to legal retention requirements)
- Withdraw consent for newsletter communications at any time
